Streamlining Operations at An NHS Hospital with MY Compliance Management
The NHS Hospital, was a 625-bed hospital, playing a pivotal role in the community with its bustling A&E Department. Supporting the operations of this substantial facility are 4500 dedicated employees, dispersed across various medical and administrative specialities. After two decades as a Chartered Health & Safety Manager, our protagonist, with six years of service at this esteemed institution, took on the role of Estates Compliance Manager in July 2021. This case study delves into the challenges they faced and how they revolutionised the department’s operations using MY Compliance Management.
Problem Identification:
While the department was operational, the absence of a cohesive workflow became evident. Existing processes lacked structure in their daily management. This made the execution of essential tasks, such as Contractor Management, the COSHH programme, Audits, Permit to Work, Risk Assessments, and maintenance both reactive and pre-planned, cumbersome and inefficient.
The Solution:
Seeking a more streamlined approach, the Estates Compliance Manager explored various online management platforms, ultimately choosing MY Compliance due to its all-inclusive dashboard. From the initial interaction, MY Compliance showcased a client-centric approach. Their Account Manager helped establish a pragmatic plan, focusing on priority modules that addressed the immediate challenges faced by the hospital.
The initial challenge tackled was the Contractor Management. Using MY Compliance, the Estates Compliance Manager could swiftly form an Approved Contractor list, amass pertinent documents, and input data inclusive of certificate and policy expiry dates. The system allowed for a comprehensive view of documents nearing expiration, facilitating easy communication with contractors for updates. Beyond this, daily tasks such as Training, COSHH, and Audits were streamlined using MY Compliance.
Impact:
MY Compliance didn't merely provide a technical solution; it was a catalyst for cultural transformation within the department. The streamlined processes elevated the department's compliance standards, making them more adept at handling tasks and audits. A testament to its efficiency, the hospital successfully underwent a recent NHS Audit using MY Compliance’s Audit module for data collection and submission.
The Manager particularly highlighted the Contractor and Training modules, stating that they offered rapid results, propelling the department to its current compliance standing. The unwavering support and guidance of the MY Compliance Account Manager were invaluable in achieving these milestones.
Conclusion:
The Hospital’s journey with MY Compliance epitomises the transformative power of well-integrated, user-centric technology. In the face of systemic inefficiencies, MY Compliance provided not just a software solution but a strategic partner, fostering growth, compliance, and a reinvigorated work culture.
